AECOM Project Coordinator (Space Management) - TTC Projects in Whitby, Ontario

Job Summary

AECOM is looking for a Project Coordinator to work on secondment to TTC to help their teams with delivering their Transit projects

The job incumbent will be offered a regular, full-time position with AECOM and work on secondment to TTC for about a year before returning to AECOM. Length of secondment could be extended beyond a year before returning to AECOM.

Employee will report for work at the TTC office (depending on COVID, this will be discussed with the candidate) for the length of the secondment. After the secondment is compete, the home office for the employee will be the AECOM Whitby office.

Job Summary:

Reporting to the Director - Office & Operational Space, the Project Coordinator - Space Management is responsible for the planning and implementation of office and operational space for the assigned TTC client departments. This involves the development, preparation, and implementation of work plans for both single and multi-year, multi-discipline projects which may take place concurrently. The Project Coordinator - Space Management is responsible for understanding the functions and space requirements of TTC client departments, and making recommendations on the strategic location, utilization, and assignment of space to support business needs. This must be done with adherence to ModernTO, the City of Toronto’s Real Estate Strategy and Office Portfolio Optimization.

Major Responsibilities:

  • Works with the TTC client department/project team to understand business requirements, determine efficient/optimal space location and utilization, and develop the project scope definition.

  • Determines optimal space and location and whether relocation is necessary; works with others (e.g. Development Coordinators within section) to secure space/location in conjunction with section leadership, client department, and other parties as necessary for ModernTO

  • Ensures that the client’s needs and requirements are addressed in conjunction with the project team and confirms project concept and scope of work.

  • Defines the scope (including subsequent work breakdowns), quality, budget and schedule parameters in order to achieve the project objectives;

  • Prepares scope definition sign-off documentation and manages sign-off processes with user groups and other related departments, including review and coordination of responses and/or corrective actions required arising from comments, to the satisfaction of all required stakeholders.

  • Coordinates and monitors the design process from the preliminary design phase through the detailed design phase, including procurement.

  • Coordinates in-house and consultant design assignments and monitors performance against established Terms of Reference (ToR)/Scope of Work (SOW).

  • Manages the preparation of documents for inclusion in construction contracts.

  • Provides assistance during tender period and recommends award of contract.

  • Provides engineering support during the construction phase of projects.

  • Prepares reporting for the budget submission.

Minimum Requirements

BA/BS + 2 Years of relevant experience, or demonstrated equivalency of experience and/or education.

Preferred Qualifications

  • Completion of a post-secondary college diploma or university degree in a related discipline (such as Architecture, Engineering, Planning, Property/Real Estate), combined with extensive experience in the fields of real estate, construction, project management; or a combination of education, training and experience deemed to be equivalent.

  • Architect, Professional Engineer, Registered Professional Planner, and Project Management Professional licenses/certifications are assets.

  • Comprehensive knowledge of current construction/renovation/interior design principles and practices, as related to office and industrial space construction/renovations/modifications;

  • Comprehensive knowledge of property, permits, and approvals, including options for the use/disposition of properties, leasing, etc.;

  • Comprehensive knowledge of the Building Code, contract administration, construction inspection, and knowledge of the Construction Act;

  • Comprehensive knowledge of corporate space management and project management principles and practices, including conceptual planning and all phases of design;
