AECOM is seeking an Administrative Assistant to be based in the Victoria, BC office. This is a part-time position.

Summary of Responsibilities include but are not limited to the following:
Administrative support to one or more Managers within a group, office or business unit reports directly to the Manager of Administration for BC as well as the Victoria Office Manager.
Provides strong administrative support for the Branch team such as reports, specifications, letters, memos, spreadsheets, scheduling meetings, making travel arrangement and maintaining inventory and ordering of office supplies.
Expert with Word, proficient with Word Formatting, Excel, PowerPoint, Outlook, and other programs
Responsible for answering the main switchboard as the first attendant
Maintain routine/confidential records and files as per ISO9001 standards
Prepares progress payments for PM projects
APIC Super User for the Branch Office
Responsible for assisting staff with processing I Expense claims and submitting to Toronto
Responsible for providing support for all bookings of travel for the Branch office
Responsible for providing support with booking of conferences/seminars for the Branch office
Corporate & office stationery ordering & business card orders
Incoming/outgoing couriers
Office equipment maintenance & facility needs
Assisting Office Manager with planning of office related events/socials
Health and Safety Committee Member
Minimum Requirements
High school diploma + 4 Years of relevant administrative experience
Advanced skill set in Microsoft Suite including Word, Excel, Outlook and PowerPoint.
Strong formatting skills for Word and Excel document is a must.
Preferred Qualifications
Diploma/Certificate in Business Administration
5+ years of administrative experience.
Must be a self-starter and have good decision-making abilities
SharePoint skill set would be an asset
