Job Summary

Work requires a familiarity with the terminology of the office unit. Selects appropriate methods from a wide variety of procedures or makes simple adaptations and interpretations of a limited number of substantive guides and manuals. The clerical steps often vary in type or sequence, depending on the task. Recognized problems are referred to others. Perform duties, which include routine but varied clerical duties in accordance with standard procedures. Maintain records and databases, prepare forms, verify information, and resolve problems. May train lower level clerks. May delegate work and oversee completion to ensure on-time delivery. Operate electronic data processing equipment and computer software relative to work being performed. Generate charts, graphs, and reporting documents. Interview vendors representatives, and negotiate purchases with respect to prices, discounts, quality, quantity, and delivery. Direct and perform follow-up work on orders, check goods received to insure vendors compliance and approve bills for payment.The General Clerk III (aka Property Clerk) will provide overall clerical and administrative support, answer telephones, screen & direct calls, open & distribute mail, prepare & record/track outgoing mail, and perform any word processing and typing functions as required. Property Clerk will receive visitors, verify ID & disposition access authority, and control the sign-in log. Property Clerk will coordinate seizure consignment/acceptance with subcontractors &/or vendors based on the p/u schedule and logistics requested by the seizing agency and while coordinating with the Supply Technician.Property Clerk will obtain copies of completed acceptance paperwork from subcontractors &/or vendors within required timeframe. Upon receipt of paperwork, the Property Clerk will review documents for completeness and compliance with PMH & SOP requirements. Property Clerk will obtain any missing paperwork from subcontractors/vendors.Property Clerk will notify Supply Technician or Regional Management of any discrepancies with the property and will obtain any necessary paperwork corrections from the seizing agency, as directed. Property Clerk will input the property acceptance into the Data Management System (DMS) within established timeframes and will build and maintain the seizure file (SHF &/or PCP) from acceptance to close-out.Property Clerk will provide DMS Document updates as required.Upon receipt of a disposition order to release property, Property Clerk will obtain updated Holding Costs.Property Clerk will interface with vendors, government officials, general public, and owners/violators for authorized release of property. Property Clerk will monitor timeline on pending disposition orders, will notify Supply Technician or Regional Management of aging unaccomplished orders, and will generate appropriate correspondence to agency &/or owner/violator, as directed.Property Clerk will collect all Holding Costs prior to release of property.Property Clerk will assist with scheduling manipulations of property in the warehouse or at subcontractors/vendors, coordinating activity with government officials, warehouse staff, subcontractors/vendors, and Supply Technician or Regional Management , and keeping track of incurred hours and materials associated with each manipulation as part of the Holding Costs.Property Clerk will be required to use various computers, printers, scanners, typewriters, &/or other data processing equipment in performance of assigned tasks. Property Clerk will run status update reports and prepare correspondence, as directed. Property Clerk will participate in Annual Inventory activities and other warehouse activities, as directed or assigned. Property Clerk will assist with Auctions or any other duties, as assigned (such as preparation of Destruction Plan, Sales File management & data entry, Bank Deposits, Manipulation support, among other duties, as assigned).Perform all other position related duties as assigned or requested.

Work Environment, Physical Demands, and Mental Demands:

Typical office environment with no unusual hazards, occasional lifting to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness, must posses planning/organizing skills, and must be able to work under deadlines.

Minimum Requirements

  • Must be a US Citizen or Permanent Legal Resident.

  • High school diploma or equivalent and at least 3 years of job-related experience or equivalent.

  • Requires knowledge of computer operating software programs.

  • Position may require the ability to pass and maintain a Security Clearance.
