Job Summary

As the Project Administrator your role will be to contribute to the successful delivery and profitability of our services for infrastructure projects. You will work on and provide administration services for a number of related projects as well as providing support services to project teams.

Some of your responsibilities will include;

  • Assist with the coordination of Personal Protection Equipment (PPE), medicals, and drug and alcohol testing as required by projects.

  • Liaison with staff regarding travel requirements, bookings, visas and ensuring AECOM travel policy is adhered.

  • Schedule, organise, gather, collate, and prepare data for weekly meetings, team meetings, and monthly reporting

  • Organise team functions

  • Assist with the setup of new starters including IT requirements and desk locations

  • Distribute incoming mail, organise outgoing mail and couriers.

  • Formatting bid and report documents ensuring they are consistent with AECOM’s brand and quality systems.

  • Work with team leaders and project managers or other staff to keep project profiles, pen pics and resumes up to date.

  • Schedule and organise meetings, functions and other business development activities.

  • Set up project files in hard copy, electronically on the network drive and in outlook.

  • Support team leaders and project managers with AECOMs Integrated Management System.

Minimum Requirements

  • Professional attitude and high level of attention to detail – takes responsibility for own tasks and work.

  • Highly motivated, enthusiastic and the ability to use initiative – eager to learn and take on new tasks.

  • Advanced in MS Office suite including Word, PowerPoint, Outlook and Visio.

  • Basic level in MS Excel.

  • Proficient in MS Access desirable.

  • Excellent Client service (both internal and external).

  • Patient, collaborative and supportive co-ordination skills.

  • Excellent written and verbal communication skills, including the ability to liaise and consult with staff at all levels within the organisation and a range of external clients.

  • Effective time management and excellent organisational skills with the ability to prioritise tasks.

  • ​Knowledge of document control software preferable (Aconex, Team Binder, Incite).
