We have a unique opportunity for a self-motivated and proactive Lead Project Administrator to join our AECOM team to provide administrative and business support to our Civil Infrastructure group whilst managing a team of administrative staff.

Key responsibilities will include:
Co-ordinate and oversee the roles of other Project Administrators within the Sydney CI Business
Create a highly motivated and engaged team via Performance Planning, Performance Management, appropriate Reward and Recognition, learning and development opportunities.
Assist with the coordination of Personal Protection Equipment (PPE)
Liaison with staff regarding travel requirements, bookings, visas and ensuring AECOM travel policy is adhered.
Assist with the setup of new starters including IT requirements and desk locations.
Work with team leaders and project managers or other staff to keep project profiles, pen pics and resumes up to date.
Liaise with the project finance team and project managers to facilitate smooth workflow of financial system related tasks.
Schedule, organise, gather, collate, and prepare data for weekly meetings, team meetings, and monthly reporting
Support team leaders and project managers with AECOMs Integrated Management System.
Attend and prepare minutes of project / client meetings as required.
Assist project managers with the generation and maintenance of registers. i.e. contact lists, documents, risk registers, etc.
Professional attitude and high level of attention to detail – takes responsibility for own tasks and work.
Highly motivated, enthusiastic and the ability to use initiative – eager to learn and take on new tasks.
Advanced in MS Office suite including Word, PowerPoint, Outlook and Visio.
Basic level in MS Excel.
Proficient in MS Access desirable.
Excellent Client service (both internal and external).
Patient, collaborative and supportive co-ordination skills.
Excellent written and verbal communication skills, including the ability to liaise and consult with staff at all levels within the organisation and a range of external clients.
Effective time management and excellent organisational skills with the ability to prioritise tasks.
Knowledge of document control software preferable (Aconex, Team Binder, Incite).
