Position Title Technical Project Assistant

AECOM is currently looking for a Technical Project Assistant to support our Midlands Ecology team on a part time basis (20 hours per week) from the Nottingham office. The successful candidate will be an enthusiastic individual with a flexible approach to work in a business environment, an ability to work to tight deadlines, and a clear communicator. As this Technical Project Assistant will be working within the Ecology team (which is one of the divisions within the Environment and Ground Engineering team), prior experience within a similar company or team would be advantageous.
General administrative duties:
Organising and supporting project meetings, including room bookings, taking minutes and distributing meeting notes and chasing any actions for project meetings.
Handling incoming calls when other people are not available.
Approve invoices where required and send to relevant project managers for approval.
Ability to prepare and format letters, reports, and presentations.
- Timekeeper support duties for Nottingham team including back up for Birmingham. Job timesheet reporting where required.
Ecology project management and support:
Inputting and managing ecological project data.
Data storage, filing and archiving.
Helping project staff / ecologists:
Arranging travel and accommodation;
Assisting with timesheets and Birmingham expenses;
Act as office contact (‘lone worker buddy’) when ecologists are on site discuss protocol with Senior Technical Assistant in Notts.
Equipment management (supporting the current Technical Project Assistant):
- Equipment management including ordering, distribution, maintenance.
Have previous work experience in a similar role e.g. administrator for a large team.
Have excellent communication skills and able to develop working relationships across all departments.
Good organisational skills, methodical approach and attention to detail.
Must be capable of producing work on time and to high standards of accuracy.
Competency in Microsoft software including Outlook, Word and Excel.
Be an enthusiastic and supportive team member.
Hold a Full UK driving licence.
Business or administrative qualification including degree (BA or BSc), NVQ or other higher educational certificates.
Experience of other software such as ArcGIS, CAD etc.
