Provides administrative support to one or more managers within a group, office or business unit including some of or all of the following: prepares or proofs correspondence, forms, spreadsheets, or documents, schedules meetings, makes travel arrangements, and/or maintains inventory of office supplies.
Familiar with standard concepts, practices, and procedures within a particular field.
Relies on experience and judgment to plan and accomplish goals.
Uses Word, Excel, PowerPoint, Outlook, and other programs to accomplish work.
Works under direct supervision.
Entry-level position, previous experience may not be required.
AECOM is actively seeking a creative, highly talented Project Management Assistant for immediate employment for the Milwaukee, WI office. AECOM is proud to provide our employees with exciting, challenging projects.
The responsibilities of this position include, but are not limited to, those listed below:
Assist Project Managers with multiple duties, including:
Monitoring and keeping up to date AECOM’s Salesforce and ePM program to track current and future pursuits
Submitting contract review requests and coordinating with AECOM’s legal department as needed for proposals and awarded projects
Submitting insurance certification requests per client/contract requirements
Completing set up of new projects in ePM upon receipt of authorization
Coordinating with Subcontract Administrators for procurement and sub-contracting process
Developing and monitoring process for safe work plans and AECOM safety compliance
Reviewing of draft invoices and account receivable follow-up
Reviewing of subcontractor invoicing, fielding and responding to outstanding AP inquiries from subcontractors and coordinating with AECOM AP for payment releases
Tracking project budgets and costs incurred
Submitting labor/non labor transfers as needed
Entering amendments and project revisions
Completing monthly project reviews and Estimate at Complete budgets
Assist Transportation Group with multiple duties, including:
Organizing Transportation department functions
Submitting and tracking approval requests for conferences, training, and civic/political spending
Resolving local IT issues
Submitting travel arrangements and expense reports
2+ years of experience in related field
Business or accounting-related education and/or demonstrated equivalent experience and abilities
Proficient in using spreadsheets, word processing and standard office software
Excellent problem solving, math and accounting skills
Superior organizational and time management skills
Ability to manage tasks with aggressive deadlines
Excellent verbal and written communication skills
College degree preferred but not required, ideally with a major involving business or accounting practices
