AECOM Director, Real Estate Program Management Office in Los Angeles, California

Job Summary

Americas Real Estate Services (ARES), the internal corporate real estate department of AECOM, leads portfolio management and reporting, transaction management, lease administration, construction and project management, workplace and facilities management, operational finance, and general real estate processes and policy for approximately 7.5M square feet of mostly leased office space. AECOM is looking for a dynamic Program Management leader to oversee its $25M-$40M annual tenant improvement construction program focused on implementing a new, agile workplace strategy across the Americas portfolio.

Managing a team of insourced and outsourced program and project managers, the Director of Americas Program Management will have responsibility across all phases of the capital project life cycle. Through collaboration with internal stakeholders and external service providers, the role will be responsible for developing and managing the capital project pipeline in alignment with critical date driven portfolio strategies. The Director will manage internal client relationships throughout the capital project implementation. They will establish program framework and tools focused on enhancing visibility, quality control, manage scope, schedule, budget, and other key performance indicators for capital projects. In addition, the role will lead the development and continuous improvement of design and construction standards to provide high performing and cost effective work environments.

Additional Job Description :

  • Oversees a team insource/outsource program and project managers; assigns work and provides direction with regard to timeliness and completion of project objectives; addresses performance issues within prescribed guidelines; provides performance input upon completion of each capital project.

  • Ensures that tenant improvement allowances are timely and properly supported, claimed and collected.

  • Collaborates closely with ARES team members, internal stakeholders and external service providers to develop and maintain master project schedule aligned with specific market conditions; ensures master schedule adherence to mitigate risk and enable effective capital project delivery.

  • Develops, maintains and ensures consistent application of Program, Cost Management Workbook and Project Management Playbooks.

  • Manages client expectations and balances the needs of the company and clients to ensure mutual satisfaction.

  • Establishes, monitors and reports program Key Performance Indicators (KPIs), service standards, and service goals on a monthly, quarterly and annual basis.

  • Manages early high-level construction project cost estimates in-line with budget goals and capital plan; ensures the estimate advances in alignment with scope and design progression; highlights cost variances along with mitigation plans in regular program roll-up reporting

  • Assists in the development of the annual capital plan; assists in the monthly capital project forecasts and cash flow projections.

  • Leads the development and management of competitive bidding processes, sourcing/supplier programs, master service agreements, vendor performance management and streamlining of internal processes.

  • Participates in regular portfolio management pipeline meetings, capital project reviews, validating estimates, schedules and construction quality and adherence to standards.

  • Supports lease transactions by reviewing landlord work letters.

  • Evaluates existing and proposed project sites and facilities with respect to program requirements.

  • Generates and delivers presentations; communicates ARES platform, vision and purpose and encourages contribution and support from others.

  • Drives the construction handoff process to facilities operations; monitors purchase orders/vendor invoices; maintains and closes out punch list; completes financial close out of all capital projects.

  • Identifies and cultivates talent to build a world class team of program/project management professionals.

Minimum Requirements

  • Bachelor's degree

  • 8+ years of related experience

  • 5+ years of experience in a supervisory, management or leader

  • Excellent organizational skills and administrative ability

  • Highly collaborative with the ability to thrive in a team-orientated environment and work independently with minimal supervision

  • Ability to meet multiple reporting deadlines in a fast paced, growth environment

  • Highly proficient in Microsoft Project, Excel, PowerPoint and Word

  • Ability to travel +/- 30%

  • Excellent leadership skills managing a significant portfolio of projects and capital budget for a commensurate program

  • Deep understanding of Change Management; ability to motivate and drive change across a diverse population of stakeholders

  • Ability to effectively respond to sensitive business and people issues, complex inquiries or complaints.

  • Ability to influence and gain alignment with senior executives at multiple levels of the organization

  • Attention to detail; exceptionally consistent in the application of processes and procedures

  • Excellent communicator; ability to clearly and effectively communicate verbally and in writing; can explain concepts, issues, etc. clearly and succinctly.

Preferred Qualifications

  • Degree in Construction Management, Engineering or Architecture preferred

  • 15+ years of experience
