Job Summary

Our Transportation Bid team currently have a vacancy for a Bid Coordinator (BC) with experience of working with Bid Managers and Bid Directors in the preparation of tender submissions and related business development activities. AECOM are focusing their Rail, Bridges and Structure team based in our state of the art flagship office in Aldgate

The successful candidate will provide tender submission delivery support to the Sector Major Bid Director and Bid Directors and Bid Managers. They will also provide assistance to the Sector Major Bid Director on the day-to-day bid and pipeline activities. They will have experience of working as part of tender teams supporting the preparation and submission of expressions of interest and tenders, including the preparation of high-quality visual documents, for major opportunities within the sector. The role would suit a self-motivated individual looking to advance their career in a team working across the UK and Continental Europe.

The Aldgate office has an established track record of successfully delivering high-quality proposals nationally and Europe wide. Birmingham is the UK’s second largest city with excellent transport links to the rest of the country. Our modern office is in the heart of the City’s business district and within an easy walking distance of the central shopping area. We are now looking to enhance and grow the Rail, Bridges, and Structures national bid team with an individual with a proven knowledge of bid coordination and quality submission preparation who will share our enthusiasm and determination to support our expanding portfolio of opportunities.

The team is the national center for Rail, Bridges, and Structures major bid preparation and management of future pipeline of prospects. The team provides direction and assistance to all districts within the UK and Europe to ensure consistency of EOI and Tender preparation. A database of exemplary bid material is maintained to ensure high-quality submissions and drive continual improvement the result being winning submissions. Our clients are mainly from the public sector and include Network Rail, TfL, Highways England, UK Local authorities, DFT, Transport Scotland and the Welsh Government.

Our current portfolio of opportunities comprises a diverse mix of local, national and international transportation opportunities. A selection of our recent bids and future opportunities include:

Job Responsibilities

The appropriate level of technical expertise is required in order that the Job/ Project Accountabilities listed below can be carried out to the necessary standards

  • Be conversant with our Project Delivery System, assisting Bid Managers (BMs) to follow the requirements of the quality system

  • Complete and manage the electronic Project Management Plan (e-PMP) on behalf of BMs ready for their sign-off

  • Review and format all bid deliverables, providing a pre-submission control point to ensure quality and consistency of product

  • Assist in the drafting of bid submission approval submissions to EU Management and monitor the progress of submissions

  • Manage the team’s inputs to our opportunities tracking and management database; coordinating regular updates and ensure that the information is current and correct

  • Ensure that all bid filing (electronic and hard copy) follows a consistent and clear format

  • Use MS Project to draft bid programmes

  • Monitor bid programme and budget progress in conjunction with BM

  • Manage the completion and submission of tender pre-qualification questionnaires

  • Prepare tenders in desk-top publishing software for a professional look

  • Monitor all procurement portals/avenues for project opportunities related to team activities

  • Ensure that standard materials (e.g. Exemplar bids, evidence, testimonials, CVs) are regularly updated and available for use by bid team members

Minimum Requirements

The BC will thrive on the adherence to processes/systems and highly motivated to support bid managers. They will have an excellent eye for detail, not accept second best and will take personal pride and responsibility for all aspects within their control.

The Candidate will need to be able to demonstrate:

  • Innovative and creative with ability of generating new ideas and following through to completion

  • The ability to work collaboratively with clients & colleagues alike

  • A flexible approach to work and willingness to travel and work in different UK offices

  • The ability to work under pressure and deliver work to deadlines

  • At least some experience in bid management & delivery support

  • Demonstrate understanding of bid management and quality systems

  • Demonstrate understanding of budgeting and financial systems

  • IT Skills required in: All Microsoft Office applications o MS Project o Desk-top publishing (e.g. Adobe In-Design) o Adobe Illustrator
