Position Title Jr. Scientific Vendor Liaison

AECOM is seeking a Jr. Scientific Vendor Liaison for our operations & maintenance team inside a pharmaceutical complex in Groton, CT!
- Typical work schedule is Monday-Friday; various hours may be required based on business demand.
This position serves as a direct liaison between the scientific community and the administration, leveraging demonstrated interpersonal skills to implement creative, inclusive, and cost-effective solutions.
The Scientific Vendor Liaison coordinates work planning and scheduling for instrumentation and maintenance teams. Works with research scientists, vendors, environmental health & safety, and facilities solutions partners to provide work planning and scheduling for a multifunctional maintenance team.
Experience working with a CMMS system is required.
Provide logistical coordination with other facility partners, such as inventory control, purchasing, customers, security, and engineering.
Maintain proficiency in CMMS work order system to update equipment history and access material inventory management system.
Schedule work with Research and Service departments, print appropriate work orders when scheduled, track and report on the completion of work.
Coordinate proper safety permitting, control of outages, equipment maintenance and calibrations.
Estimate work order completion times and compare to actual performance.
Maintain professional and customer-oriented relationships with team members, internal and external customers and service providers, and building occupants.
Partner with management leaders and teams to facilitate current year purchase order close out process.
Collaborate with management leaders and teams to coordinate year beginning activities associated with purchase order creation.
Partner with business customers to reconcile vendor conflicts, coordinating corrective actions until resolution is complete.
Initiate purchase change order to adjust funding, time limits, and quotes as appropriate.
Manage all aspects of invoice reconciliation, including validating accuracy of purchase order, work order and expense coding; confirming alignment with service quote and payment terms; verifying serviced has been performed; approval process; clearing unmatched invoices, etc.
Work closely with Accounts Payable in prevention of double billing or incorrect payment.
Work closely with Procurement to insure Vendor accountability.
Comply with all company policies and procedures and adhere to company standards.
Perform other job-related duties and special projects as requested.
Supports safety program as necessary.

Bachelor’s degree in facility management, data management, or related technical field, or demonstrated equivalent combination of education and experience in a maintenance-related field -OR- 8 years of experience in laboratory or industrial facilities maintenance will be considered demonstrated equivalent in experience with no education.
One – Three years of maintenance, construction, or engineering planning experience.
Working knowledge of a CMMS (computerized maintenance management system) such as EAMS, MAXIMO, or related database systems.
Qualified applicants offered a position must be able to obtain site specific security access including all applicable background checks.
Qualified applicants must submit to and pass a Tuberculosis test prior to employment, or be medically cleared for Tuberculosis by a medical professional, and be able to maintain annual negative results.
Qualified applicants must pass a medical evaluation for respirator use and be able to successfully complete a fit test for each type of respirator needed for the position or for an approved alternate respirator that provides equal or better protection from identified hazards.
Qualified applicants who are offered a position must pass a pre-employment substance abuse test.
This position may require a valid Driver’s License.
This position does not include sponsorship for United States work authorization.
This position will require the ability to obtain a security access badge at our client’s location.
This position may require various shifts, weekends, and alternative work schedules.
Some tasks will require repetitive wrist movement.
Some tasks will require the ability to walk extensively throughout facilities during a workday.
Requires ability to read and understand information contained in a variety of documents or displayed on a computer screen.
Requires ability to use a variety of office equipment and to operate a computer keyboard to access data bases, to send/receive messages and to prepare documents.
Requires ability to attend meetings throughout the site and potentially travel to other AECOM, customer and/or vendor locations in the area, as well as some air travel to more distant locations.
Requires the ability to communicate with others on the telephone and in one-on-one or group discussions, meetings and presentations.
Demonstrated fluency in computer use including the full Microsoft product line.
Requires some moving of light to medium weight materials into desks, filing cabinets and other storage locations.
Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress.
Wear steel toe safety shoes, safety glasses, gloves, hard hats and other Personal Protective Equipment as needed.
Cope with demands (stressors) that are associated with the job and/or the work environment so that acceptable levels of performance and overall contribution are maintained.
Experience working in purchasing or as a buyer in a manufacturing, maintenance, or a related service field.
Experience in a technical Field Service Engineer or Field Service Management role.
Ability to manage several projects simultaneously.
Experience negotiating and working with Contracts, Subcontractors and vendors at the Federal, State and Local level.
Familiarity with acquisitions and fiduciary responsibilities.
Strong proficiency with Microsoft Office suite, particularly MS Excel, and Microsoft Visio.
Experience in creating presentations and supporting meeting agendas.
Extreme attention to detail.
- Must be willing to work overtime when required. May be required to work holidays and weekends.
